In doing so, we will process your personal data to enter into a dialogue with you—for example, to answer questions about our services. We only process the information you provide us during this communication.
Typically, we will process the following general data: name, email, phone number, and address.
Our legal basis for processing this personal data is Article 6(1)(f) of the General Data Protection Regulation (GDPR).
We delete our communication with you when it becomes clear whether you want to use our services or not.
In special cases, we may need to store your personal data for a longer period.
2.3. Customers
We need to communicate with our customers to ensure that the service is delivered correctly. This may involve processing information such as name, address, services, special agreements, payment details, etc.
The legal basis for this processing is GDPR Article 6(1)(b).
Once the service has been delivered and any outstanding matters have been resolved, we will delete the personal data shortly thereafter.
2.4. Newsletter
We offer a newsletter that is optional to subscribe to—and you can unsubscribe at any time.
The purpose of the newsletter is to send subscribers emails with updates from the company, such as new website content or service announcements.
We will only send you emails if you have actively consented. Initially, you must enter your email address, after which we will send you a confirmation email to verify your subscription. This ensures that the consent is actively given.
Our legal basis for processing your email address in connection with the newsletter is GDPR Article 6(1)(a).
We will process your data as long as you remain subscribed. If you unsubscribe, we will stop sending you newsletters. If no newsletters have been sent for one year, your consent will be considered withdrawn due to inactivity.
When you unsubscribe, we will store your previous consent for 2 years from the last use, in accordance with the Consumer Ombudsman’s guidance on spam, section 11.3.
2.5. Accounting
We are required to store all accounting documents pursuant to the Danish Bookkeeping Act. This means we store invoices and related documents for accounting purposes, which may include general personal data such as name, address, and description of services.
Our legal basis for processing this data is GDPR Article 6(1)(c).
We store this information for a minimum of 5 years after the end of the financial year.
2.6. Job applications
We welcome job applications in order to assess if they match any employment needs in our company.
If you send us a job application, our legal basis for processing your personal data is GDPR Article 6(1)(f).
If you submit an unsolicited application, we will assess its relevance immediately and delete your data if there is no match.
If you apply for a posted job, we will delete your application if you are not hired, shortly after the right candidate has been found.
If you enter a recruitment process and/or are hired, we will provide you with separate information about how we process your personal data.
3. Data Processors
We can’t do everything ourselves, and we rely on partners and suppliers, some of whom may act as data processors.
External providers may supply systems to organize our work, services, consulting, IT hosting, or marketing.
It is our responsibility to ensure that your personal data is handled properly. Therefore, we set high standards for our partners, who must guarantee the protection of your personal data.
We enter into agreements with these companies (data processors) to enhance the security of your data.
4. Disclosure of Personal Data
We do not share your personal data with third parties.
5. Profiling and Automated Decisions
We do not perform profiling or make automated decisions.
6. Transfers to Third Countries
As a general rule, we use data processors within the EU/EEA or those that store data within the EU/EEA.
In some cases, this may not be possible, and we may use processors outside the EU/EEA, provided they offer adequate protection for your personal data.
7. Data Security
We keep your personal data safe by implementing appropriate technical and organizational measures.
We have conducted risk assessments of our data processing activities and implemented suitable measures to enhance data security.
One of our key initiatives is ensuring that our staff stays up to date with GDPR through ongoing awareness training, GDPR courses, and internal procedure reviews.
